STANDARD & PREMIER AR/AP Recordkeeping — Included

AR/AP ledger recordkeeping is included in Standard (G2) and Premier (G3) base pricing. We record invoices and bills, apply payments, and maintain your AR/AP ledger in QBO. Up to 30 combined per month on Standard, 50 combined on Premier. Additional entries beyond the included cap are billed at $5/entry, itemized clearly on your invoice. For Starter (G0) and Essentials (G1), AR/AP recordkeeping is available as a paid add-on — $100/mo, 15 combined entries, $5/entry over cap. Note: base tier transaction overages are billed at $3/entry — AR/AP entries and base entries are tracked independently.

ALL H-TIERS BAA — Required & Included

A signed Business Associate Agreement is required for all healthcare clients before any work begins. It is included at no additional charge across all healthcare tiers. PHI-minimized workflow is the default for all healthcare engagements — we work from financial summaries only, never patient-level data. A signed BAA does not make your practice HIPAA-compliant. We are not a compliance advisor.

01 Who We Are

WakePoint Ledgers LLC ("WakePoint," "we," "us," or "our") is a California bookkeeping firm providing QuickBooks Online (QBO)-only bookkeeping services.

• Financial account documents you provide or authorize (bank statements, merchant account reports, etc.)

C. Payment and billing details

When you pay us, we may receive your name, email, billing details, invoice information, and transaction identifiers. We do not receive full card numbers — payment card data is handled directly by our payment processor.

D. Website usage data

We automatically collect basic analytics: pages viewed, time on site, links clicked, approximate location (city/region), device type, browser type, and referral source.

03 What We Ask You NOT to Submit

• No patient names, dates of birth, or any health information (PHI)
• No Social Security Numbers (SSNs)

These channels are not designed to handle sensitive data securely. If you send it anyway, we may delete it or ask you to resend it through an approved secure method.

• Evaluate whether we're a good fit to work together
• Onboard clients and deliver bookkeeping services
• Manage billing and payments
• Maintain business records related to inquiries and service delivery

We do not sell personal information. We share information only as needed to run our business and deliver services — with hosting providers, booking tools, payment processors, analytics providers, and professional advisors. We share only what is reasonably necessary for each purpose. We may also disclose information when required by law.

06 How Long We Keep Information

We keep information only as long as reasonably necessary for the purposes described in this policy and for legitimate business needs. When information is no longer needed, we take reasonable steps to delete it, anonymize it, or archive it as required.

07 Security

We use reasonable administrative, technical, and organizational safeguards to protect your information. No transmission or storage method is completely secure, so we cannot guarantee absolute security.

Our default service model is PHI-minimized — we intentionally design workflows to avoid receiving or storing patient health information whenever possible.

10 Your California Privacy Rights

WakePoint is a small business and may not be required to comply with the CCPA/CPRA at this time. Even so, we will honor reasonable access, correction, and deletion requests where feasible. We do not sell personal information and do not share it for cross-context behavioral advertising.

11 Children's Privacy

Our website and services are not intended for children under 13. We do not knowingly collect personal information from children under 13.

12 Updates to This Policy

We may update this Privacy Policy from time to time. The "Effective date" at the top reflects when it was last revised. If changes are material, we will post the updated policy on our website.

To ask a question or submit a privacy request, please include your name, the email address you used to contact us, and a clear description of your request. We may need to verify your identity before acting on certain requests.

Do not enter PHI, SSNs, payment card data, or other highly sensitive information. WakePoint does not guarantee that any chatbot output is accurate or right for your situation.

Any tools, calculators, questionnaires, or tier finders on the Site are illustrative only. They do not determine or demonstrate compliance with any law, regulation, or professional standard. You are responsible for understanding your own obligations.

07 Intellectual Property

The Site and its content are owned by WakePoint or its licensors and are protected by intellectual property laws. You are granted a limited, revocable license to access and view the Site for personal or internal business use. You may not copy, reproduce, distribute, or commercially exploit Site content without WakePoint's prior written permission.
